Terms for organizers

Draft — not legal advice. These terms describe how we intend Bowin to work with organizers. They have not been reviewed by a lawyer and may change before they are final.

These terms apply to organizations that use Bowin to run martial arts tournaments, and to the staff they invite.

Your account

You are responsible for the people you invite and the roles you give them. Keep passwords private, and remove staff who no longer help with your events. Every organization keeps at least one owner.

Your events and your data

You decide what to collect and publish for your events, and the information stays yours. We process it only to provide Bowin to you, as described in the privacy notice. You can ask us to export or delete your organization's data.

Your responsibilities to families

• Get the consent you need. Children are registered by a parent or guardian, or by a coach with the parent's consent.
• Use a waiver that suits your event and your province or state, and carry suitable insurance. A waiver signed for a child may not protect you on its own.
• Follow the rules that apply to your event, such as concussion requirements and any sanctioning body's rules.
• Publish results only when you are ready, and respect the choices families made about names and photos.

Acceptable use

Use Bowin only to run real events. Do not upload information you have no right to hold, try to reach another organizer's data, interfere with the service, or use it to send messages people did not ask for.

AI suggestions

AI suggestions can be wrong. Check each one before you use it. You, the organizer, stay responsible for what you apply to your event. AI is optional, and you can carry on by hand at any time. Your owner can switch it off for your organization. See the privacy notice for what is sent.

Fees

Bowin is free while in open beta. We will publish event pricing on the pricing page before the beta ends. Entry fees you collect from families are yours. See current pricing.

Availability

We work to keep Bowin running, especially on event days, but we cannot promise it will never be interrupted. Print your brackets and running order before your event so you can continue on paper if the venue's internet or the service fails.

Changes and ending

We may improve or change Bowin and these terms; we will tell owners about important changes before they apply. You can stop using Bowin at any time. We may suspend an account that breaks these terms, and will tell you why.
